Setting Up Profile Agents for Your Office

Profile Agents are the smart starting point for any office setup. For a low flat monthly rate, every agent in your office gets their own professional web presence — with their photo, bio, listings, and contact details — all connected to your Buying Buddy account. Agents who later need to manage leads themselves can be upgraded to CRM Agents at any time.

What Profile Agents Get

Profile & Web Presence

  • Personal profile page with photo, bio, and contact details
  • Social media links and Zillow ratings (optional)
  • Automatic display in the office agent directory
  • Login credentials to the Buying Buddy account

Listings & Lead Notifications

  • Active and sold listings displayed under their name
  • Pocket and private listings (if applicable)
  • Lead notifications when someone enquires about their listings
  • Agent-specific referral link — leads from their listings are automatically assigned to them
  • Access to Property Marketing features

Note: Profile Agents do not have access to CRM lead management tools, drip campaigns, listing alerts, or bulk marketing features. To use these tools, a Profile Agent can be upgraded to a CRM Agent at any time.

Profile Agent Pricing

Profile Agents are billed at a flat monthly rate based on the number of agents in your account — making it cost-effective to add your entire office.

Requires the Team/Office base plan at $77/month (which includes 2 CRM Agent users). See the price list summary or detailed pricing in your Account.

Cost example — 20-agent office: Base plan ($77/month, includes 2 CRM Agents) + Profile Agent plan for up to 25 agents ($27/month) = $104/month total for full office coverage.

Adding Profile Agents

Open the user management area in your account

Go to Menu My Account > Users and click Add New User.

Enter the Agent's Details

Fill in the required information for the agent

Complete the following required fields:

  • Full Name
  • Email Address — used for login and lead notifications
  • Phone Number
  • MLS Agent ID — this connects the agent to their listings in the MLS feed

Tip: The MLS Agent ID is the most important field for listing display. Without it, the agent's listings won't be associated with their profile. You can find this in your MLS system or office roster.

Select Service Level

Choose the right access level for this user

In the Service Level field, select Profile Agent, then click Save.

The agent will receive a welcome email with login instructions. Their profile page will be active immediately, and their listings will appear as soon as the next MLS data sync completes.

Adding Multiple Agents at Once

Managing Profile Agent Profiles

Each Profile Agent can personalise their profile by logging in to their Buying Buddy account. They can:

  • Upload a profile photo
  • Write or update their bio
  • Add social media links
  • Connect their Zillow profile for ratings display (optional)

As an Account Admin, you can also update any agent's profile on their behalf from Menu My Account > Users.

Upgrading a Profile Agent to CRM Agent

When an agent is ready to actively manage their own leads, upgrading takes just a few clicks:

  1. Go to Menu My Account > Users
  2. Select the agent from the user list
  3. Click the Settings tab
  4. Change Service Level to CRM Agent
  5. Set any additional permissions as needed
  6. Click Save — billing adjusts automatically at the next cycle
